Nexvisory — Frequently Asked Questions
Below you'll find answers to the questions we hear most often from businesses considering, or already using, Nexvisory. If you can't find what you're looking for here, our support team is always happy to help — see the Contact Us section at the end of this document.
General Platform Questions
What is Nexvisory?
Nexvisory is a web-based business management software platform, delivered as a Software as a Service (SaaS) solution. It brings together customer relationship management (CRM), project management, HR administration, and financial record-keeping into a single online dashboard, so businesses don't have to rely on several disconnected tools to manage their day-to-day operations.
Who is Nexvisory designed for?
Nexvisory is designed for small businesses, freelancers, independent consultants, agencies, and other service-based organisations that need practical tools for managing customers, projects, employees, and financial records. Whether you're a solo consultant juggling a handful of clients or a growing agency with a full team, Nexvisory is built to scale with the way you work.
Do I need to install any software to use Nexvisory?
No. Nexvisory is entirely web-based, meaning you access it through your browser rather than installing anything on your computer. This also means updates and improvements are rolled out automatically, without requiring you to manually download or install new versions.
Can I access Nexvisory from any device?
Yes. Because the Platform is accessed online, you can log in from any device with an internet connection and a modern web browser, whether you're at your desk or working remotely.
What makes Nexvisory different from using separate tools for each part of my business?
Many businesses end up piecing together a CRM, a project management app, an HR system, and an invoicing tool, each requiring its own login and each holding a different slice of the same overall picture. Nexvisory brings these functions together into one dashboard, so customer records, project details, HR information, and financial data all live in the same place — making it easier to see the full picture of your business without switching between systems.
Is Nexvisory suitable for a one-person business, or only larger teams?
Nexvisory is built to work for businesses of different sizes. A freelancer or sole consultant can use it to keep their own customer records, project tasks, and invoices organised in one place, while an agency with a growing team can use the same Platform to coordinate multiple people across shared projects and customer accounts. Your selected Subscription package determines the specific features and usage limits available, so you can choose a plan that matches where your business is right now.
Does Nexvisory replace the need for any other business software?
Nexvisory is designed to reduce the number of separate tools you need for day-to-day administration by bringing CRM, project management, HR, and financial record-keeping together in one place. That said, Nexvisory is a business management and record-keeping platform, not a replacement for specialist software in areas outside its scope, such as dedicated payroll processing, accounting software required for statutory filings, or industry-specific tools your business may also rely on.
Customer Relationship Management (CRM)
What can I do with the CRM functionality?
You can maintain records for your customers and prospective customers, manage leads and sales pipelines, and track follow-ups and customer history. This gives you a centralised place to keep track of who your customers are, what stage they're at in your sales process, and what needs to happen next.
Can I track leads as they move through my sales process?
Yes. Nexvisory allows you to organise potential opportunities and monitor how leads progress through your sales pipeline, so you can see at a glance where each opportunity stands and identify where attention might be needed.
Does Nexvisory remind me about follow-ups?
The Platform provides tools for tracking follow-ups and customer history, giving you a structured way to keep track of actions that may still need to be taken in relation to a customer or lead, alongside a record of what's already been discussed or agreed.
Is the CRM suitable for a small number of customers, or only larger customer bases?
The CRM functionality is designed to be useful whether you're managing a handful of key accounts or a larger, more active customer base. The underlying tools for organising records, leads, and follow-ups work the same way regardless of scale, though your selected Subscription package may determine the specific usage limits available to you.
Can multiple people on my team access the same customer records?
Where your Subscription permits multiple Authorised Users, your team can access shared customer records, leads, and pipeline information from within the same Account, helping everyone stay aligned on where things stand with a given customer rather than relying on one person's personal notes or memory.
Project Management
What project management tools does Nexvisory offer?
Nexvisory lets you create and manage projects, break work down into tasks with deadlines, and assign responsibilities to members of your team. This is particularly useful for consultants, agencies, and other service-based businesses that deliver work through defined projects or ongoing client assignments.
Can I assign tasks to specific team members?
Yes. Once a project is set up, you can assign individual tasks to specific people on your team, giving everyone clarity over who is responsible for which piece of work.
Is project management connected to my customer records?
Because CRM and project management live within the same platform, project work naturally sits alongside the customer relationship it relates to, rather than requiring you to reconstruct that connection manually across separate systems.
Can I run multiple projects at the same time?
Yes. Nexvisory is built with service-based businesses in mind, many of which run several projects simultaneously, each with its own timeline, tasks, and team members. There's no need to limit yourself to tracking one project at a time.
Can I set deadlines for individual tasks, not just whole projects?
Yes. Within each project, you can create individual tasks and set deadlines for each one, making it easier to break larger pieces of work down into manageable steps and track progress at a granular level rather than only at the project level.
HR Administration
What HR features does Nexvisory include?
Nexvisory provides tools for maintaining employee records, managing leave, supporting onboarding processes, and storing employee documents — all within the same dashboard used for the rest of your business administration.
Does Nexvisory process payroll?
No. Nexvisory's HR functionality is administrative software functionality only. Nexvisory does not act as an employer of record, and it does not process payroll or provide payroll services. You remain fully responsible for your employees, your employment obligations, and for calculating and managing payroll through whatever separate arrangements you use.
Can I store employee documents within the Platform?
Yes. Nexvisory allows you to maintain employee documents within the system, giving you a central place to organise documentation associated with your employees rather than keeping it scattered across separate files or physical storage.
Can Nexvisory help with onboarding new employees?
Yes. The onboarding functionality is designed to help you manage the administrative steps involved in bringing a new employee into your business, giving you a more structured process than relying on informal checklists or memory.
Is Nexvisory an employer-of-record service?
No. Nexvisory does not act as an employer of record. You remain the employer in every respect and retain full responsibility for your employment relationships and obligations. Nexvisory simply provides the administrative tools that support this side of your business.
Can I manage leave requests through Nexvisory?
Yes. The leave management tools allow you to organise information relating to employee leave, giving you a clearer administrative record of leave taken and requested, alongside the rest of your employee information.
Is HR data kept separate from my other business information?
While HR data lives within the same overall dashboard as your CRM, project, and financial information for convenience, it remains organised within its own dedicated area of the Platform, so employee records don't get mixed in with customer or project data.
Financial Record-Keeping
Can I create invoices through Nexvisory?
Yes. The invoicing functionality allows you to create records of the amounts you're seeking to charge your customers, directly within the same platform used to manage the underlying customer relationship and project work.
Does Nexvisory track my income and expenses?
Yes. You can record business income and expenses within the Platform, helping you keep relevant financial information organised in one place rather than across separate receipts or spreadsheets.
Can I see which invoices have been paid and which are outstanding?
Yes. Nexvisory's payment-status functionality lets you monitor the status of payments associated with your business records, so you can keep track of what's been paid and what still needs following up.
Does Nexvisory generate business reports?
Yes. The Platform includes business reporting functionality, allowing you to review information relating to your business activities and records in a more structured format.
Does Nexvisory provide accounting, tax, or financial advice?
No. Nexvisory's financial tools are intended for business record-keeping and management purposes. Nexvisory does not provide accounting, tax, financial, investment, or legal advice, and the Platform does not replace professional advisers such as accountants, tax professionals, financial advisers, or legal professionals. You remain responsible for the accuracy of your financial information and for meeting your own accounting, tax, and regulatory obligations.
Does Nexvisory file my tax returns for me?
No. Nexvisory does not file tax returns on your behalf. You remain responsible for understanding and meeting your own tax obligations, and for ensuring your records are accurate and suitable for that purpose.
Can I use the financial reports to prepare for a meeting with my accountant?
Yes. The business reports generated through Nexvisory are intended to help you review your own business activity, and many customers find it useful to bring these reports to meetings with their accountant or other professional advisers. However, the reports themselves are organisational tools rather than a substitute for professional review, and your accountant remains the appropriate person to advise on how the underlying figures should be interpreted or reported.
Subscriptions and Pricing
How does Nexvisory's pricing work?
Access to Nexvisory is provided through a one-off, lifetime payment. You select a Subscription package that determines the features and usage limits available to you, pay once, and keep that access for good — there's no recurring charge. Different packages may offer different levels of functionality, so you can choose the one that best fits your business.
Can I change my Subscription package later?
Yes. You can upgrade to a higher-tier package at any time through your Account settings, subject to any restrictions described on the Platform; the new package's features become available as part of that plan's one-off payment.
What happens if I don't use all the features included in my plan?
There's no penalty for using only some of the features available in your Subscription — you're free to use as much or as little of the Platform's functionality as suits your business at any given time.
Do prices ever change?
Subscription Fees for new purchases may change from time to time. Since each Subscription is a one-off, lifetime payment, a price change never affects a package you've already paid for.
Can I add more team members to my Subscription later?
Depending on your chosen Subscription package, you may be able to add Authorised Users as your team grows, either by upgrading to a package with a higher user allowance or, where available, adding user seats to your existing plan for an additional one-off fee. Check your Account settings or contact support for the options available on your current package.
Payments and Billing
How does Nexvisory process payments?
Subscription payments are processed securely through Stripe, a widely used payment-processing platform. Nexvisory does not hold or transmit your funds directly; the payment arrangement relates solely to your Subscription payments.
Can I pay by Direct Debit?
Where available, Bacs Direct Debit can be used for eligible subscription payments as part of the Stripe payment process.
Is my payment information secure?
Yes. Payment details are handled directly by Stripe rather than being stored by Nexvisory itself, and Stripe applies industry-standard security measures to protect payment information.
What happens if a payment fails?
If your payment doesn't go through successfully at checkout, your account and access simply aren't created — you can try again once your payment method is sorted out. Since Subscription Fees are a one-off charge, there's no later billing attempt to worry about once you've paid.
Will I be charged automatically each billing period?
No. Each Subscription is a one-off, lifetime payment — there's no recurring billing period and nothing renews automatically. You pay once and your access doesn't expire.
Can I see a history of my past payments?
Yes. Your billing history, including your original purchase and any plan upgrades, is generally accessible through your Account's billing section, giving you a straightforward record for your own bookkeeping.
Refunds and Cancellations
Does Nexvisory offer a money-back guarantee?
Yes. Nexvisory offers a 14-day money-back guarantee on eligible purchases, subject to the conditions set out in our Refund Policy. This means that if you're not satisfied after purchasing, you may be able to request a refund within 14 days of your purchase.
Is there anything to pay after my first payment?
No. Since each Subscription is a one-off, lifetime payment, there's no renewal fee and nothing further to pay to keep your access active.
How do I close my Account?
You can close your Account at any time through your Account settings, or by contacting our support team directly. Because your Subscription is a one-off, lifetime payment rather than a recurring charge, there's no future billing to stop — closing your Account simply ends your access.
Will I lose access to my data if I close my Account?
Your access to the Platform ends when your Account is closed. We recommend exporting any information you wish to keep before that happens, as described in our Terms and Conditions.
How long does it take to receive a refund?
Once a refund request is approved, it's submitted to Stripe promptly. The time it takes to appear in your account depends on your bank or card issuer, but typically takes around 5–10 business days.
Data, Privacy, and Security
Who owns the data I enter into Nexvisory?
You do. As between you and Nexvisory, you retain all rights, title, and interest in the information you enter into the Platform. Nexvisory does not claim ownership over your business data.
Is my business data kept private?
Yes. Where your Content includes personal data relating to your own customers or employees, you act as the data controller of that information, and Nexvisory acts as a data processor, providing the infrastructure to store and process it securely on your behalf and instructions.
How does Nexvisory keep my data secure?
Nexvisory implements reasonable technical and organisational measures designed to protect data against unauthorised access, loss, or disclosure, including encryption of data in transit and access controls limiting who can view information within our systems. Further detail is available in our Privacy Policy.
Does Nexvisory use cookies?
Yes. Nexvisory uses cookies and similar technologies on its website and Platform to keep you logged in securely, remember your preferences, and understand how the Platform is used. Full detail is available in our Cookie Policy, including how to manage your preferences.
Can I export my data?
Yes. You can export your Content from the Platform using the export tools available within your Account, subject to the limits of your Subscription package. We recommend doing this periodically, particularly before making significant changes to your Account.
Does Nexvisory share my business data with anyone else?
Nexvisory does not sell your data. We only share information with trusted service providers who help us operate the Platform — such as Stripe for payment processing — and only to the extent necessary to provide the Service, or where required by law. Further detail is available in our Privacy Policy.
What happens to my data if I close my Account?
We retain Content for a limited period following Account closure, primarily to allow for data export and to meet our own legal and record-keeping obligations, after which it is deleted in accordance with our data retention practices. We recommend exporting anything you want to keep before closing your Account.
